Document Finalization & Integrity Controls

The process begins when the sender uploads a document, assigns recipients, and optionally renames the document for clarity and internal tracking before sending it for signature.
Once sent, the recipient receives a secure email notification and the document appears directly in their personal dashboard. From there, the recipient can open the document, preview it in full, and take one of several controlled actions within a secured signing environment.
Recipient interaction options include:
Previewing the document before any action
Signing the document and submitting it securely
Voiding the document with a mandatory reason selection
Choosing from up to four predefined void reasons, ensuring accountability and preventing silent rejection
If the document is signed, the system performs controlled PDF stamping using precise placement logic to embed signatures without altering document structure. If the document is voided, the action is recorded with the selected reason and immediately reflected in the sender’s dashboard.
Finalization and integrity features include:
Atomic PDF generation with safe file replacement to prevent corruption
Idempotent processing to avoid duplicate or conflicting outputs
Accurate signature stamping with layout and positioning preservation
Automatic delivery of the finalized document back to the sender
Advanced audit trail capturing sender actions, recipient actions, timestamps, IP context, and document state transitions
Once finalized, each document is locked into a verifiable state and accompanied by a detailed audit trail designed to support anti-fraud controls, dispute resolution, and compliance review. This ensures that every signature, rejection, and modification is fully traceable, legally reliable, and operationally secure.
